A significant challenge to create a comprehensive management environment for audiology clinic networks in the US became the foundation of our partnership with SUNO as a software vendor. In this industry, administrators, doctors, and accountants often have to balance several different programs for scheduling, accounting, and billing. Due to poor synchronization between these fragmented modules, information exchange between departments slows down and training new employees becomes more difficult. Integrating third-party services into an existing patient database usually involves compromises that hinder the stable operations of medical centers.

We designed and developed a comprehensive clinic management system, structurally belonging to the ERP (Enterprise Resource Planning) class of platforms. It covers absolutely the entire cycle of interaction with the patient, starting from product discovery on the marketing website (the system itself is delivered to clinics as a closed internal solution) and ending with equipment purchases and the process of negotiating insurance claims. At the core of this architecture lie data distribution algorithms and an intuitive, modern interface.

Appointment Scheduling and Patient Communication

The patient journey begins with simple and convenient appointment scheduling. Organizing the time of specialized professionals requires the highest precision. We created a detailed appointment calendar that provides administrators with an up-to-the-minute view of every doctor's availability.

Scheduling a patient for an initial consultation takes just a few clicks. The system automatically analyzes staff schedules, estimates procedure durations, and prevents any overlaps. Immediately after the appointment time is confirmed, the communication module takes over. We integrated an automated SMS notification system powered by Twilio. The platform sends patients polite reminders about their upcoming visits, personalized messages, and necessary preparatory information. This helps patients manage their time effectively, prevents delays, and allows the clinic to maintain clear and stress-free communication with its patients.

The Doctor’s Office and Electronic Health Records

When a patient arrives at the clinic, the doctors' work centers around the electronic health record (EHR). Specialists spend most of their workday composing detailed descriptions of appointments, diagnoses, and test results.

We paid special attention to creating a built-in rich text editor within the medical record. It allows doctors to format detailed structured notes, attach audiograms, and instantly save the history of any changes. A doctor can easily open a patient's chart, analyze the results of previous visits, and add new medical data. Absolutely all documents are securely stored in a protected cloud archive using encrypted integrations. Access to critical information is instantaneous, allowing the doctor to dedicate maximum attention to the patient themselves.

Data Visualization and Clinic Analytics

The platform collects and processes extensive operational data that requires clear visual representation. For doctors, we implemented interactive charts and forms — including tools for plotting Pure Tone Audiograms, Tympanometry, Speech Word Recognition, and Acoustic Reflex Decay tests. These allow specialists to visualize a patient's hearing level and other critical metrics directly within the electronic health record.

For clinic executives, we developed a comprehensive analytics system. Visual tables and charts provide transparent statistics on branch utilization, staff performance, and financial metrics, helping leaders immediately assess the current state of operations and make informed decisions.

Online Store and Equipment Inventory

In addition to medical services, clinics can provide patients with the necessary audiological equipment. We built a full-fledged e-commerce module directly within the platform. Patients can select and purchase hearing aids, accessories, or batteries right on the website.

The purchasing process is closely integrated with the internal inventory module. When a device is ordered and paid for, the system automatically reserves it at the warehouse of a specific clinic branch, updates stock levels, and links the purchase data to the patient's electronic health record. Doctors always know exactly which device a person is using and can promptly provide service support.

Financial Accounting and Insurance

The final stage of the cycle is a deeply integrated document flow. Financial management for a medical network in the US involves a high level of regulatory compliance. We built a reliable financial module into the platform that handles invoicing, transparent payment tracking, and integration with bank acquiring providers.

We dedicated special attention to automating work with medical insurance companies. Traditionally, preparing reimbursement claims is an extremely labor-intensive process. Our system can independently generate standardized HCFA-1500 insurance forms based on patient chart data. Through direct integration with the ClaimMD clearinghouse, these documents are seamlessly sent for electronic processing to insurers. The platform tracks claim statuses in real time, minimizing the rejection rate caused by human error.

Tech for Those Who Provide and Receive Care

We united the disparate processes of a medical network into a functional, cohesive system. Doctors received a modern and responsive tool for working with patients. Administrators gained full control over patient flow and scheduling. Executives and owners can see an absolutely transparent picture of finances and warehouse utilization. Algorithms and integrations operate completely invisibly to users, providing people with a clean, reliable, and calm environment to fulfill their primary mission — helping patients.
